How we collect personal information

  • when you register as a Sweet Louise member;
  • when you make a donation to us;
  • when you sign-up to a digital platform;
  • when you sign-up to attend one of our fundraisers;
  • when you subscribe to our newsletters or publications;
  • when you engage in face-to-face meetings with us;
  • in the course of us providing services to you; and
  • through your use of our website and the services and functionality offered through it.

We will collect your personal information directly from you where it is reasonable and practicable for us to do so.

We may at times collect your personal information indirectly from other sources (for example, from healthcare providers, referral partners, fundraising platforms, or publicly available sources).

The types of personal information we collect

The personal information that we collect includes:

  • identification information such as your name, address, gender, ethnicity and date of birth;
  • contact information such as your telephone number, fax number, physical address and email address;
  • payment information, including payment gateway details;
  • health information, including if you are affected by breast cancer.

We may also collect any other personal information you may choose to provide to us or authorise other persons to provide to us.

Supplying personal information to Sweet Louise is voluntary. If you choose not to provide us with certain information, we may be unable to deliver specific services or respond to your requests.

Sweet Louise may use your personal information for the following purposes:

We do not handle or store any credit card details entered online. These are captured by a secure, PCI-compliant payment gateway.

From time to time, it may be necessary for us to share your information with third parties, including:

  • our service providers (including third parties who provide us with IT, marketing, fundraising or other services).
  • our professional advisors (including lawyers, auditors, and insurers).
  • regulators and government agencies.

We will not disclose personal information we hold about you to any third party except as set out in this Privacy Policy, where we have informed you we will be doing so at the time of collection of your personal information, and/or as otherwise authorised by you.

Some third parties may collect personal information on our behalf. In those cases, we require them to comply with our privacy obligations, including providing appropriate notice to individuals where required.

Data aggregation and use

We may use your personal information in an aggregated and anonymised form for our planning, service development, research, to endeavour to ensure that the programme continues to fully meet its intended purposes, and related purposes. We do not combine the information used for these purposes with any personally identifiable information.

Use of Artificial Intelligence

Sweet Louise uses artificial intelligence (AI) technology to assist with certain operational functions, including the editing and improvement of our communications, the preparation of email correspondence, and the development of fundraising materials. Importantly, Sweet Louise does not upload, input, or use any personal data, member or donor information, health information, or records of individual conversations or interactions with AI tools as part of our working policy. We do not use AI to process, analyse, or generate insights from personal information, and any such use will be disclosed at the time your information is collected. Sweet Louise remains fully responsible for all decisions, outputs, and communications generated with AI assistance, and we do not rely on automated systems to displace our existing obligations under the Privacy Act 2020. All AI assisted activities remain subject to the same security and privacy protections outlined in this Privacy Policy.

Storage and security of your personal information

We take reasonable security measures to prevent unauthorised access, improper use or disclosure, unauthorised modification, unlawful destruction, or accidental loss of your personal information. However, we cannot guarantee the security of information transmitted through electronic means and you acknowledge and agree that any electronic transmission of personal information to us is conducted at your own risk.

Access to and changing your personal information

If at any time you wish to obtain confirmation that we hold personal information about you and to access that information or wish to request a correction to the personal information we hold about you, please email us at info@sweetlouise.org.nz.

If you request access to your personal information, we will provide you with a copy of the personal information that we hold about you, subject to any lawful grounds for withholding that information. We reserve the right to charge you a reasonable amount for providing copies of any personal information you request, to account for the time, cost and effort involved.

If you request a correction to your personal information and we agree that your personal information needs correcting, we will amend your record accordingly. If we do not make any corrections you request, you may provide us with a statement of the correction sought and request that it be attached to the information you have asked to be corrected so that it is read with the information.

Your rights to access and request correction of your personal information apply whether your information was collected directly from you or indirectly from another source. We will provide this information to you as soon as reasonably practicable after the information has been collected, unless an exception under the Privacy Act 2020 applies.

Where personal information is collected on our behalf by a third party (for example, digital fundraising or marketing providers), we will take reasonable steps to ensure that you have been provided with this information, and we remain responsible for ensuring compliance with applicable privacy obligations.

Information we collect automatically

If you visit our website to browse, read, or download information or forms your web browser automatically sends us (and we may retain) information such as the:

  • internet domain through which you access the site;
  • internet Protocol address of the computer you are using;
  • type of browser software and operating system you are using;
  • date and time you access our site; and
  • the Internet address of the site from which you linked directly to our site.

We will use this information as aggregate data to help us maintain this site, e.g., to determine the number of visitors to different sections of our site, to ensure the site is working properly, and to help us make our site more accessible and useful. We will not use this information to identify individuals.

Google Analytics

We use Google Analytics to collect information about use of this site. Google Analytics collects information such as how often users visit this site, what pages they visit when they do so, and what other sites they used prior to coming to this site. We use the information we get from Google Analytics only to improve this site. Google Analytics collects only the IP address assigned to you on the date you visit this site, rather than your name or other identifying information. We do not combine the information collected through the use of Google Analytics with personally identifiable information.

Although Google Analytics plants a permanent cookie on your web browser to identify you as a unique user the next time you visit this site, the cookie cannot be used by anyone but Google. Google’s ability to use and share information collected by Google Analytics about your visits to this site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy.
